External Request Process

The following reservation process applies to most external requests:

Rooms rates vary depending on size, location, and amenities.

SECURE A USE OF UNIVERSITY FACILITIES (UUF) SPONSOR

STEP 3

You will need to secure an authorized University sponsor. The purpose of the University sponsor is to ensure that UW-operated facilities are reserved primarily for activities related to educational use. A sponsor is required if the event’s organizers or attendees are not limited to UW students/faculty/staff.

SUBMIT A ROOM REQUEST

STEP 4

A request does not indicate a held reservation. Details will be reviewed based on the request, and supplemental discussions to determine if the nature of the event is suitable for the selected space.

COMPLETE CONFIRMATION DOCUMENTS

STEP 5

Depending on event details, additional steps such as signing a reservation confirmation (estimate), providing payment information, and/or completing additional forms (Use of University Facilities (UUF), Alcohol Service Request (ASR), Food Permit) may be required at this time.

OTHER INFORMATION

  • You may be required to secure a Tech Key/Card from the Academic Technologies Help Desk for reservations outside of Kane Hall.
  • External clients are not eligible to contract with 3rd party AV companies. AV use is limited to what is available for rental by Event Services.
  • External clients may be required to have a site visit before confirmation of their event.
