Reservation Process

The following reservation process applies to most events:

STEP 1

SUBMIT A ROOM REQUEST

Before submitting a request, please log in and review availability on 25Live. We accept requests up to two years in advance of your event.

PROVIDE EVENT DETAILS

An Event Services team member will reach out to gather additional details about your event, if applicable.

COMPLETE CONFIRMATION DOCUMENTS

Depending on event details, additional steps such as signing a reservation confirmation (estimate), providing payment information, and/or completing additional forms (Use of University Facilities (UUF), Alcohol Service Request (ASR), Food Permit) may be required at this time.

Spaces

The spaces are organized by non-classroom multi-purpose spaces and buildings near popular areas on campus. Click ‘Learn More’ for additional information about the spaces in each category.

Outdoor spaces are primarily managed by UW Facilities. Other venues available for meetings and events include the Husky Union Building (HUB) and Housing & Food Services.

Room Request

Availability

UW faculty, staff, and students with UW NetID can view availability via 25Live before submitting a room request. Please be aware that while the schedule may show an opening, this does not guarantee that the space is available for events.

Please consider the fact that classes are scheduled in most of our spaces Monday-Friday between 8:00am-6:30pm during the academic year.

For non-UW affiliates please contact one of our Event Coordinators at specialevents@uw.edu or 206-616-1287 for availability.

Request Form

To request a room for an event, please complete the following form. Please note, this form is to request general assignment classrooms and select multi-purpose spaces controlled by Academic Technologies on UW Seattle’s upper campus. Review the event spaces and details.

We ask that all classroom requests be made at least 2 weeks in advance and all Kane Hall and Multi-Purpose space requests be made at least 30 days in advance. We accept requests up to two years in advance of the event date.


Rental Rates

Event Services rates consist of the room rental, technology, equipment, furniture, and labor. Customers will be provided with a custom estimate based on each event’s unique needs.

  • Labor is required for Kane Hall and Mary Gates Commons space rentals.
  • An estimate will be provided once all of the pertinent event details are provided and added to the reservation.
  • The estimate will be provided and reflect the charges for your meeting or event based on the Event Services Rental Rates [pdf].
  • Discounted rates for non-profit organizations are not available.

Event Services is here to assist you in making venue reservations for your meetings and events!

Through our department, event organizers can reserve general assignment classrooms and select multi-purpose spaces located on the University of Washington’s Seattle upper campus. Our facilities accommodate a wide range of events, from meetings and lectures to receptions and performances.

Please note that Event Services only reserves the venues listed on our Spaces page. For a list of other venues on campus, please visit the Venue Operator list maintained by the Use of University Facilities Committee. If you are interested in outdoor spaces, please contact UW Facilities. Other popular venues on campus can be reserved through the Husky Union Building (HUB), or Housing and Food Services.
